Summary: KeisenVPA processes audio transcription locally on your device using Whisper. When you use AI document generation, transcribed text, images, and any EHR chart data you pull are sent to Anthropic's Claude API. We don't collect, store, or have access to your recordings, transcriptions, or medical data.
Keisen L.L.C. ("Keisen", "we", "our", or "us") operates KeisenVPA, a voice-powered transcription assistant for medical professionals. This Privacy Policy explains how we collect, use, and protect information when you use our software and services.
We are committed to protecting your privacy and the privacy of your patients. KeisenVPA is designed with privacy as a core principle.
KeisenVPA verifies your license with our license server. When the app starts, it sends your license key (or, during a trial, an anonymous trial identifier), an anonymous device identifier, and the app name and version. We use this to confirm your license is valid, to provide support, and to understand how many active installations there are.
We never send your notes, transcripts, recordings, patient information, or any clinical content to our license server. It receives only the license and version information described above.
If your license includes KeisenVPA's built-in AI access, the app also reports daily totals of how many AI tokens that access consumed, so we can meter and protect the shared service. These are counts only, never content. If you use your own Anthropic API key, nothing about your usage is reported — it is not our service to meter.
If the license server cannot be reached, KeisenVPA keeps working offline for up to 7 days, after which it will ask you to reconnect.
This website uses Plausible Analytics, a privacy-focused analytics service hosted in the European Union. It tells us which pages are visited, which links and buttons are clicked, and which sites refer visitors to us, so we can understand what people find useful.
Plausible sets no cookies and collects no personal data. It does not track you across websites or over time, does not store IP addresses, and does not build visitor profiles. This applies only to the website — it is entirely separate from the KeisenVPA application, which is covered by Sections 2.2 and 2.3.
Analytics requests are served from keisenvpa.com and forwarded to Plausible by our web host, rather than loading from plausible.io in your browser. That is a routing change only — Plausible still receives and processes exactly the data described above. We spell it out here so that a first-party address does not obscure who is involved.
Temporary accuracy check: we are currently also running Google Analytics alongside Plausible, for a limited period, to verify that our visit counts are accurate. Unlike Plausible, Google Analytics sets cookies and sends visit data (including your IP address) to Google, which processes it under its own privacy policy. We will remove Google Analytics and this paragraph when the comparison is complete.
If — and only if — you turn on "Share anonymous usage statistics" (Settings → Privacy), KeisenVPA sends anonymous statistics about how the app is used: which features you use and how often, whether operations succeed or fail, coarse ranges rather than exact values (for example "generation took 5–15 seconds"), a coarse time-of-day label, your app and operating-system version, and error types.
These statistics never include your audio, transcriptions, note text, chat messages, patient information, file names, error message text, or any free-form text of any kind. The app is built so that only items on a fixed, published list can be transmitted, and our server independently rejects anything that is not on that list. You can read the complete list at keisenvpa.com/analytics, and see the same list inside the app under Settings → Privacy → "See exactly what's collected".
The statistics are tied to a random installation identifier created at the moment you opt in. It is not derived from your hardware, licence, or email, and we do not link it to your licence or purchase records. You can reset it at any time, or turn statistics off — which stops collection immediately, deletes the identifier, and removes anything still queued on your device. Statistics are received by our own server (hosted on Cloudflare, the same infrastructure as licence verification); individual events are kept for 90 days and aggregate counts indefinitely. We never sell or share them.
KeisenVPA uses OpenAI's Whisper model running locally on your device. Audio is processed on your hardware and is never transmitted to external servers. Your audio recordings never leave your computer.

Important: You control when data is sent to Claude. You can review transcriptions before generating documents, and you can use KeisenVPA's transcription features without ever using the AI document generation.

We retain your account information (name, email, purchase history) for as long as your license is active and for a reasonable period afterward for legal and business purposes. You may request deletion at any time.
KeisenVPA is designed for professional use and is not intended for children under 18. We do not knowingly collect information from children.
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through the software. Your continued use of KeisenVPA after changes constitutes acceptance of the updated policy.
